Prepare Your First Invoice in CleansyAI
An invoice starts as a draft so you can check the customer and amount before sharing it.
Start from the job or create a draft
From a completed job, generate an invoice to bring the service details into a draft. You can also create an invoice from the Invoices section. Choose the client, enter the line items, and check the quantity and price of each item.
Invoices use USD. Review any tax rate and the final amount for your business before issuing the invoice.
Review before issuing
Check the client details, line items, tax, and due date. Drafts can be edited or deleted; issued invoices cannot be edited in the app. This keeps the amount shown to the customer consistent with the saved invoice.
Draft invoice links are private. After issuing the invoice, its public link shows the customer-facing invoice. Treat that link as information intended for the customer and share it only with the appropriate recipient.
Record payment after it arrives
To accept online payments, add your business's Stripe keys in Settings > Payments and configure the webhook shown there. Customers can then pay issued invoices through Stripe Checkout, and verified payment notifications update the invoice automatically.
For payments received outside CleansyAI, confirm that payment has arrived, then mark the invoice paid in the app.
Opening an invoice link or seeing a success message from another website is not proof of payment. Check your payment records before manually changing the status.
Correct an issued invoice carefully
An issued invoice cannot be rewritten in place. If it needs replacing, review the situation and use the available void workflow where appropriate, then create a new invoice. Paid and void invoices cannot be reopened through the app.
Automated overdue reminders are not included. QuickBooks synchronization requires its optional integration to be configured. See pricing for the current plans.
